Purpose and preparation
Provide and verify captions for meaningful audio in presentation media. Check the exact PowerPoint version and the way the deck will be delivered, because embedded media, online video and exported files can behave differently.
A practical example
A training deck includes a recorded demonstration that participants may watch without audio.
How to check it
- Identify the media type and prepare a reviewed caption file or an appropriately captioned source. Include relevant speaker identification and meaningful sounds.
- Use the caption support available for that media and PowerPoint version. Play the slide show and verify that users can enable the captions.
- Check timing, technical terms and legibility, then test the actual shared deck or exported recording. Record any format in which the captions are lost.
What can be missed
Live presentation subtitles and prerecorded video captions solve different problems. Captions visible on the author's computer may not be included in every exported format.
