Purpose and preparation
Explain what people need to provide before they encounter an error. Keep instructions close to the relevant decision and connect them programmatically where appropriate. Separate necessary requirements from internal implementation details.
A practical example
A reimbursement form asks for a receipt date, an amount and evidence but does not explain accepted files or currency.
How to check it
- List the information users need before starting: documents, formats, required answers and any meaningful limits. Remove unexplained internal terminology.
- Write concise field-level instructions and examples where the format is not obvious. Make required and optional choices clear without relying only on an asterisk or color.
- Test the instructions with representative invalid entries. Check that error messages add a specific correction and do not contradict the original guidance.
What can be missed
Long instructions can be ignored when every field repeats the same warning. Put general information once and use local guidance for the decisions that need it.
