Purpose and preparation

Organize a workbook so a reader can identify sheets, locate tables and interpret values without relying on color or visual position. Keep formulas and data intact while reviewing the structure. Record the workbook version and intended audience task.

A practical example

A budget workbook has three unnamed sheets, color-coded variance cells and a chart with no accompanying explanation.

How to check it

  1. Give worksheets descriptive names and provide a short orientation near the start of each relevant sheet. Identify actual data tables and their headers.
  2. Review merged cells, blank separators and color-only meaning. Add textual labels for status and a useful explanation or underlying data for charts.
  3. Run the available accessibility checker and complete a screen-reader task such as finding a department total. Record any navigation or interpretation problem that the checker did not flag.

What can be missed

A workbook can pass automated checks while remaining hard to navigate. Protecting sheets or hiding rows can also change the experience of the distributed copy.
