Prepare Accessibility Requirements for an RFP

Published by whatisADA / Grow Wild Agency · Updated

Purpose and preparation

Describe the accessibility outcomes and evidence needed for the actual purchase. Involve procurement and the relevant accessibility owner so requirements fit the product and applicable obligations. Avoid a vague request for an accessibility badge.

A practical example

An organization is buying a scheduling system with a public booking widget, staff console and downloadable reports.

How to check it

  1. List the user groups, essential tasks, modules and output formats in scope. Identify the applicable standards through the organization's procurement process.
  2. Specify the evidence and demonstrations needed to evaluate those requirements, including the relevant ACR, tested version and known limitations.
  3. Define how findings, acceptance testing, updates and remediation will be handled. Keep the requirement linked to the purchased configuration and responsible supplier.

What can be missed

A generic promise to be ADA compliant does not identify a technical target or acceptance method. Requirements should be reviewed for the actual legal and contractual context.

Record your test

These are your observations, not automated results or a conformance certificate. A complete evaluation needs appropriate scope, supported technologies, all applicable criteria and relevant page states.

Primary sources and scope

This is independent implementation guidance with original examples. The linked standard contains the full definitions, exceptions and conformance requirements. A criterion or checklist alone does not establish legal applicability or whole-site conformance.
